Purpose of the Job:

The Administrative Officer – Facility will oversee and manage the day-to-day administrative operations related to facility management. This includes overseeing canteen services, security services, vehicle logistics, guest accommodations, factory surroundings (greenery and cleanliness), and communication with external stakeholders.

Key Responsibilities:

  •  Canteen Services
  • Monitor the operation of the company canteen, ensuring quality, hygiene, and timely service for employees.
  • Work closely with vendors to manage contracts and resolve service-related issues.
  • Conduct periodic assessments to ensure compliance with safety and sanitation standards.
  • Security Services
  • Supervise security personnel to maintain a safe and secure environment within the premises.
  • Ensure the implementation of security policies and procedures.
  • Regularly inspect security measures and address any gaps or risks.
  •  Logistics Management
  • Oversee the scheduling and movement of company vehicles.
  • Event and Visitor Management:
  • Coordinate facility-related support for organizational events.
  • Manage visitor accommodations and provide logistical support as necessary.
  • Guest Accommodation
  • Coordinate accommodation arrangements for company guests, ensuring comfort and hospitality.
  • Maintain accurate records of guest stays and manage related expenses.
  • Address and resolve any issues raised by guests promptly.
  • Factory Surroundings
  • Oversee the upkeep of factory surroundings, including greenery, landscaping, and cleanliness.
  • Develop initiatives to enhance the overall aesthetics of the factory environment.
  • Coordinate with maintenance teams for routine repairs and facility improvements.
  •  External Stakeholder Communication
  • Draft and manage all official correspondence, including letters and emails, with external stakeholders.
  • Ensure timely delivery of responses to inquiries from government authorities, vendors, and other third parties.
  • Maintain an organized filing system for all external communications and documentation.
  • Administrative Support
  • Ensure compliance with company policies and regulations in all administrative operations.
  • Assist in preparing administrative reports and ensuring timely submission to management.
  • Handle any other administrative tasks assigned by the management team.
  • Other Duties
  • Perform additional tasks and projects as assigned by supervisor to support the company’s objectives.
Job Requirements

Education: Bachelor’s Degree in Business Administration, Management, or a related field.

Experience: 0+ years 

Skills:  Strong verbal and written communication skills, with the ability to engage professionally at all levels. Exceptional organizational skills with the ability to multitask and manage competing priorities efficiently. Attention to detail, especially in managing schedules, records, and administrative tasks related to manufacturing operations. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office management software. Strong negotiation and vendor management skills. Ability to work independently and as part of a team, with a proactive and problem-solving mindset.
