The Accountant is responsible for efficiently planning and organizing his/her monthly activities, ensuring timely execution, and promoting a positive work environment. He/she is responsible for managing the financial record keeping of assigned projects and programs, ensuring accurate documentation, classification, and recording of all financial transactions. The accountant works closely with the finance officer in budget monitoring, payroll processing, and other financial activities. Additionally, the role involves actively participating in professional development initiatives, pursuing necessary training certifications, and supporting the continuous improvement of financial operations.
Duties and Responsibilities
Personal Planning
Develop yearly, quarterly and monthly activity plans and upload them on time.
Prepare monthly activity report in the last week of every month before salary is effected.
Planning and Design
Plan for ensuring all financial records are organized, maintained accurately, and stored.
Plan for supporting the finance officer.
Plan for assisting in the monitoring and reconciliation of bank statements
Plan for accurately processing payrolls, and accurately follow up of government transaction for the assigned projects/program in a timely manner.
Implementation
Financial Record Keeping
• Maintaining accurate and organized financial records in terms of hard and soft copies.
• Encoding documents of assigned projects with the relevant and correct account.
• Input financial data into the accounting system with precision.
• Ensure financial documents are safely and orderly documented.
• Ensure all necessary financial cycles are followed and documented.
Financial Reporting
Assist in the preparation of routine financial reports for internal and external use.
Budget Assistance
Support the finance officer in the preparation and monitoring of budgets.
Payroll and Benefits
Support in processing payroll accurately and in a timely manner.
Maintain records related to employee compensation and benefits.
Ensure accurate and timely tax and pension records and payments.
Cash Management Assistance
Contribute to the monitoring and reconciliation of bank statements.
Assist in the day-to-day management of cash transactions.
Tax Compliance
Ensure tax and other government transactions are done in accordance with the tax regulations. This includes but not limited to payroll tax, withholding tax, income tax etc.
Audit
Support the senior staff involved in responding to spot checks and audit process requirement
Provide necessary documentation and support during internal and external audits.
Capacity Building
Actively engage in self-capacitation.
Actively participate in the implementation and integration of the ERP system into daily financial operations to streamline data management, reporting, and budgeting processes.
Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.
Assigned Projects
Digital Transformation- A-ETH-2024-0046
Any additional projects given by immediate supervisor.
Other Responsibilities
Carry out other activities given by the finance officer.
Job Requirements
A Bachelor's degree in Accounting or Finance, along with a CPA certification,
Experience: Proven experience in the NGO sector in accounting roles, including hands-on experience managing financial records and preparing financial statements for over 3 years.
Requirements: A strong grasp of accounting principles and practices is necessary for accurate financial reporting and compliance with financial regulations.
