Administrative analysts help companies to refine specific processes by analyzing current practices and developing strategies that will improve efficiency, productivity, or profitability. They conduct research, analyze information and processes, and develop effective strategies.
Within the limits of delegated authority, the Administrative Analyst, under the supervision of the
Head of Admin/Finance Unit, will be responsible for the following duties
Together with the Admin/Finance Officer, represents the office in meeting son various
Administration issues with different agencies
Create travel requests in UMOJA on be half of the staff and follows up on their processing by HQ, including the processing of travel claims upon completion of travel
Briefs staff on policies and procedures relating to official travel. Processes Travel Claims upon completion of travel.
Consults regularly with UNDP and other service providers on various issues and joint activities to ensure continued provision of required services.
Participates in OMT meetings including OMT Technical Working Groups.
Drafts letters and other correspondent correlating to administrative financial, and personnel activities.
Handle procurement planning and procurement of office supplies and equipment, ensuring budget aryadequacy and observance of procurement rules and regulations.
Facilitates
processing of MOUs by HQ for office rental ensuring availability of MOUs, UNDSSMOSS compliant reports for processing of MOUs.
Over sees the maintenance of daily attendance and leave records and assists staff in the processing of requests in UMOJA relating to Home Leave, R&R travel.
Ensures the safekeeping, annual physical inventory; prepares periodical reports for submission to Head quarters including costan alysisand recommendations for replacement/disposal of supplies and equipment.
Oversees the periodical physical inventory checktoen sure that physical inventory data matches with inventory record.
Together with the Admin Officer, recommends replacement/disposal of items,when necessary, in line with rules and regulations.
Any other duties as may berequired.

Ensuretimely and efficient deliveryof administrative,travel,procurement,inventory management
services for the office and other clients.

Education: Advanced university degree or bachelor’s degree in Business Administration, Finance, Commerce, Economics or related field
Years of Experience: A minimum of 2 years of relevant professional experience with an Advanced Degree and 4 years with bachelor’s degree in finance, business administration/public administration, ideally including experience with the UN or other international organizations is required.
Good knowledge of UN policies and administrative, financial, and personnel rules and regulations.
Ability to work with moderate supervision,and with integrityana
Proficiency in the use of computers and office software applications(MS Word, Excel, etc);
Language Requirements: Fluency in English and national language of the duty station is required.
