An exciting vacant position has arisen at East Africa Bottling Share Company-Ethiopia for the role of Administrative Assistant- People & Culture. East Africa Bottling Share Company (EABSC) works with the world’s most cherished trademark; invests in the most sophisticated production system in the world and employs people who are prepared to work with passion and focus. The position is structured to report to the People & Culture Director.

Key Purpose Statement 

To provide efficient and professional administrative support to the People and Culture function by ensuring accurate employee file management, effective coordination of expatriate services and events, and seamless office and data management. The role is responsible for organizing People and Culture processes, preparing documentation, optimizing resource utilization, and delivering high-quality customer service through strong interpersonal and communication skills, while leveraging sound computer proficiency to support overall People and Culture operations.

Key Duties & Responsibilities

Customer Service & Employee Support

  • Act as a first point of contact for employee queries and provide timely support.
  • Deliver professional service to employees and external stakeholders.

Data & Office Management

  • Capture, update, and maintain HR/People and Culture data in systems and spreadsheets.
  • Organize and manage office documentation and filing systems.

Administrative Support

  • Provide day-to-day administrative support to the People and Culture team.
  • Manage correspondence, emails, and internal communications.

Employee Records & File Management

  • Prepare employee files for new hires, ensuring all required documentation is complete.
  • Ensure confidentiality and proper handling of sensitive employee information.

Event Management

  • Assist in planning and coordinating internal events, and engagement activities.
  • Manage logistics such as venues, materials, communication, and attendance tracking.

Resource & Office Coordination

  • Support resource planning and ensure availability of office supplies and materials.
  • Coordinate meeting rooms, schedules, and administrative logistics.

Planning & Organization

  • Prioritize tasks effectively to meet deadlines.
  • Maintain organized workflows and support efficient People and Culture operations.

General

  • Ensure compliance with company policies and procedures.
  • Support continuous improvement of administrative processes.

Job Qualification

  • Education : First Degree in Management, Business Administration, Secretarial science ,Administrative service management or related field of studies .
  • Experience : Minimum of 2 years relevant experience

Preffred Skills :

  • Strong administrative and organizational skills with high attention to detail
  • Effective planning and time management abilities
  • Excellent interpersonal and communication skills (written and verbal)
  • Ability to handle confidential and sensitive information with discretion
  • Good customer service and employee support skills
  • Proficiency in computer applications (Microsoft Office: Word, Excel, PowerPoint, Outlook)
  • Strong data management and record-keeping skills
  • Adaptability and flexibility in a fast-paced work environment
