The Corporate Services Officer in consultation with the Security and Property Manager is responsible for the effective management of the security, property and IT ensuring compliance with departmental guidelines and legislative requirements.   The position supports security, property, IT and admin practices and procedures. This position requires a good communicator who can develop and maintain relationships with a broad set of internal and external stakeholders and possesses self-awareness and commitment to personal development.

Key Responsibilities of the position include but are not limited to:

  • Assist and support arrangements for repairs and maintenance of A-based leased residential properties and the HOM Residence, including supervising contractors and liaison with tenants, property owners and contract service providers across a variety of locations.

  • Assist and support the management of all leased property records and utilities and update all property acquisitions and leases in the appropriate databases.

  • Establish, develop and maintain strong working relationships with a range of key internal and external stakeholders including landlords, vendors and partner agencies.

  • Coordinate procurement for Chancery and A-based residential furniture and fittings, in consultation with management.

  • Manage assets in line with departmental policies including correct procurement, recording and stocktaking, and maintenance of the asset register.

  • Arrange removal and delivery of personal and household effects for staff; liaise with the local representative.

  • Maintain inventories of residential furniture and registers of other services, fittings and equipment

  • Perform the role of LANA in maintenance of the Embassy’s IT systems, processing of user maintenance, creation of new system accounts and help requests.

  • Assist with contingency planning, including the management of the Emergency Radio Network, Emergency Tracking devices and be the emergency contact for A-based staff and their families.

  • Assist with monitoring the Ethiopian security environment and undertake regular testing of all security equipment and physical security checks of the Chancery, HOM residence and other A-based residences.

  • Provide back up support to the Property and Security Manager as required.

  • High-level written and oral English communication skills and ability to speak Amharic, and other local languages.

  • Demonstrated ability to prioritise, think strategically, apply judgement and innovation to achieve results.

  • Well-developed interpersonal skills; flexibility; and adaptability.

  • Ability to operate effectively within a team and across teams.

  • An ability to work with limited supervision, manage own work program and meet deadlines

  • Strong interpersonal skills and ability to independently liaise with stakeholders and develop and maintain a wide range of productive working relationships.

  • Excellent organisational skills and judgement, including the ability to manage competing priorities and work productively as part of a small team.

  • Knowledge of desktop computers, including the use of email, databases, word processing, spreadsheets and the internet. Knowledge of Local Area Networking (LAN) would be an advantage.

  • Knowledge of property and guidelines within Ethiopia plus keeping abreast of local property issues.

Desirable

  • Experience or knowledge of SAP.

  • Excel knowledge and skills.
