General Functions

Under the direct supervision of the Executive Assistant, the Documentation Officer is responsible for managing and controlling all official documents and records of the Executive Office to ensure efficiency, accuracy, and confidentiality.

He/she is responsible for organizing, maintaining, and updating documentation systems, ensuring proper handling of incoming and outgoing correspondence, and supporting documentation needs of the Executive Manager. The role also facilitates coordination of documents with internal departments such as Import, Finance, HR & Administration, and Sales, as well as external stakeholders.

The Documentation Officer ensures that all records are properly filed, easily accessible, and maintained in accordance with company policies and procedures, contributing to effective decision-making and operational efficiency.

Job Requirements

Education:
  • TVET Level IV or College Diploma or Bachelor's Degree in Records Management, Information Management, Office Management, Business Administration or with related field of study

Experience
  • Minimum of 3–5 years experience for Degree holders or 5–7 years for Diploma/TVET holders

  • Experience in document control or office administration, preferably in import-export or trading environment, is an advantage

Duties and Responsibilities

  • Receives, registers, and controls incoming and outgoing documents and correspondence.

  • Maintains proper filing systems (both physical and electronic) for all office records.

  • Ensures accuracy, completeness, and proper classification of documents.

  • Prepares, edits, and organizes official letters, reports, and documents.

  • Maintains confidentiality and security of sensitive company information and records.

  • Retrieves and provides documents as requested by the Executive Manager and authorized staff.

  • Supports preparation of reports, presentations, and meeting documents.

  • Archives documents systematically for future reference and audit purposes.

  • Follows up on document flow between departments to ensure timely action.

  • Maintains document tracking systems and ensures proper record keeping.

  • Ensures compliance with company documentation standards and procedures.

  • Coordinates documentation with internal departments and external stakeholders.

  • Assists in organizing and maintaining databases of company records.

  • Ensures proper labeling, storage, and disposal of documents as required.

  • Supports administrative activities within the Executive Office.

  • Performs any other related duties as assigned.
