General Functions
Under the direct supervision of the Executive Manager, the Executive Assistant provides high-level administrative and secretarial support to ensure efficient management of executive functions.
He/she is responsible for managing communications, scheduling, documentation, and coordination activities related to the Executive Manager’s office, ensuring smooth daily operations. The role also supports coordination with internal departments such as Import, Finance, HR & Administration, and Sales, as well as external stakeholders including suppliers, clients, and regulatory bodies.
The Executive Assistant handles confidential information, organizes meetings, prepares reports, and facilitates communication to enhance executive decision-making and operational efficiency.
Job Requirements
Education:
TVET Level IV or College Diploma or Bachelor's Degree in Secretarial Science, Office Management,, Business Administration or with related field of study
Experience:
Minimum 3-5 years for Degree holders and 7–8 years for Diploma/TVET holders.
Experience in corporate office or trading/import-export environment is an advantage

Duties and Responsibilities
Screens incoming correspondence, emails, and documents; prioritizes and forwards for action.
Drafts, types, and prepares letters, reports, emails, and official documents for the Executive Manager’s approval.
Records minutes of meetings; prepares and distributes minutes and follow-up action points.
Maintains the Executive Manager’s schedule, appointments, and calendar.
Organizes and coordinates meetings, conferences, and business appointments.
Prepares meeting agendas, briefing materials, and necessary documentation.
Receives visitors, manages appointments, and facilitates communication with stakeholders.
Handles telephone calls, inquiries, and correspondence professionally.
Maintains proper filing and documentation systems (physical and digital), ensuring confidentiality.
Follows up on assignments, reports, and communications directed by the Executive Manager.
Coordinates travel arrangements including visas, tickets, accommodation, and itineraries.
Assists in preparing periodic reports, presentations, and business summaries.
Maintains contact database of suppliers, customers, and business partners.
Ensures availability of office supplies and proper functioning of office equipment.
Supports coordination between departments to ensure smooth information flow.
Assists in organizing official events, meetings, and external engagements.
Maintains confidentiality of sensitive company information and documents.
Performs any other related duties as assigned.
