Organization Description

As Village Enterprise continues to scale, our aim is to lift 20 million people out of extreme poverty by 2030.
Project Overview:
Village Enterprise and HereWeGrow are partnering to address the interwoven challenges of poverty, gender inequity, and climate vulnerability facing smallholder coffee farmers in Ethiopia’s Keffa Zone. HARVEST - Households Advancing Resilience, Value chains, and Sustainable Transformation is a three-year, integrated project to address the poverty cycle in coffee producing small holder farmers in Gimbo and Shisho Ende districts of Keffa Zone.
The proposed project combines Village Enterprise’s proven 12-month poverty graduation model– including seed capital grants, business and financial literacy training, mentoring, and savings groups with tailored climate-smart agriculture (CSA) and market linkage interventions. This integrated model will be delivered to households living in extreme poverty in the coffee-growing Keffa Zone. The project will train 8,100 entrepreneurs to launch 2,700 small businesses, enabling households to improve quality and yields and increase and diversify incomes, ultimately lifting 52,000 individuals from poverty.
Position Overview
The Finance & Administration Associate will support the day-to-day finance and administrative functions of Village Enterprise’s programs and projects, ensuring that all financial practices adhere to internal controls and policies.
This is a full-time position (40 hours per week). Occasional weekend or holiday work may be required based on workload and program needs.
Key Duties & Responsibilities Program Support:
Manage and organize all program grant application forms received from the field.
Generate disbursement receipts before payments are made.
Collect and reconcile grant receipts with the bank payment sheet before recording in NetSuite.
Maintain a well-organized and up-to-date filing system for all grant and financial documents.
General Finance:
Support financial planning in collaboration with the F&A Coordinator.
Assist the program team in budget preparation and monitor the budget in utilization.
Prepare monthly payroll and labor cost payments, ensuring all staff submit approved timesheets.
Ensure timely payment of local taxes and staff pension contributions.
Manage office petty cash and replenishment procedures.
Prepare monthly wire requests and bank reconciliations.
Update accounting records promptly and ensure all supporting documents are properly filed.
Perform any other finance-related tasks as assigned by the F&A Coordinator.
Net Suite:
Enter daily transactions on the Net Suites & upload supporting documents on the box for approval.
Review monthly Net Suite transactions and make necessary corrections prior to the closing of the books.
Compliance & Safeguarding:
Responsible for ensuring VE accounting policies are stringently followed and educating staff on these policies as required.
Regular follow ups and provide support in developing mechanisms to ensure that advances have been made and accounted within the required timelines and as per the policy.
Safeguarding: Participate in the planning of the safeguarding visits for F&A staff once every quarter and facilitate at least one safeguarding visit per quarter.
Audits:
Assist with internal and external audits under the direction of the F&A Coordinator
Ensure the audit documents requested are available in the allotted time
Once the audit is completed, support to ensure that all documents are correctly refiled. •
Report on any financial issues to the F&A Coordinator immediately
Administration:
Ensure the field offices are well maintained and protected.
Ensure the procurement procedures are adhered to and ensure the best value for money is obtained and the sufficient bids are collected to get competitive prices
Manage and update the field office fixed asset listings.
Support the proper maintenance of upkeep of office equipment.
Ensure the regular office-related payments are made on time.
Follow-up the field office logistics, vehicles and fuels are ready for field activities.
Support and arrange the meeting, workshop and training sessions.
Safeguarding:
Continuously sensitize program participants about possible risks of child abuse, sexual/financial exploitation, prevention and response mechanisms.
Ensure compliance with VE’s safeguarding policies and Code of Conduct in all programs,
operations and practices.
Report any incident of child or adult safeguarding in program operations for appropriate action and follow up.

Job Requirements
QUALIFICATIONS
Bachelor’s degree in accounting, finance or related fields.
Minimum of three (3) years of relevant accounting or finance experience, preferably in an NGO or donor-funded project.
Professional accounting qualification (e.g., ACCA, CPA) is an added advantage.
Strong integrity and commitment to Village Enterprise’s mission and values.
Proficiency in English, Amharic, and local languages (spoken and written).
Strong interpersonal and communication skills, with the ability to share knowledge effectively.
Proficient in Microsoft Office (Word, Excel, PowerPoint); working knowledge of NetSuite or other accounting software is desirable.
