Ethio-Friends Foundation for Refugees (EFFR) is looking for a highly qualified Finance and Administrative Assistant for the project “Empowering Families Through E-commerce to Support Children's Education and Well-being" based in Gambella.

EFFR is currently implementing a strategic two-year project supported by the Conrad N. Hilton Foundation titled: "Empowering Families Through E-commerce to Support Children's Education and Well-being." This initiative aims to economically empower families through e-commerce platforms, enhance early childhood development, and strengthen the advocacy and influencing capacity of Refugee-Led Organizations (RLOs).

Ethio-Friends Foundation for Refugees (EFFR) was established in 2022 and registered on January 13, 2023, as the first legally registered Refugee-Led Organization (RLO) in Ethiopia. It serves as a humanitarian and rights-based response to support the more than 1.1 million refugees and asylum seekers currently in Ethiopia.

These populations face severe challenges due to protracted crises and the global decline in funding. Our foundation is committed to promoting human rights and advocacy, providing sustainable livelihoods, offering Mental Health and Psychosocial Support (MHPSS), and achieving gender equality while addressing Gender-Based Violence (GBV). We serve as a steadfast voice for the voiceless among both refugees and host communities.

Our Partners: We take great pride in working alongside major national and international stakeholders, including the Refugees and Returnees Service (RRS), UNHCR, Inkomoko, DRC, JRS, Oxfam GB, and the Hilton Foundation, in addition to various UN agencies and non-governmental organizations.

Overall purpose of the role

The role is responsible Finance and Administrative Assistant will be responsible for Financial and administrative support in Gambella field office. 

Key Duties and Responsibilities 

  • Review staff expenses claims with supporting receipts and prepare monthly expense reports.

  • Maintain fixed asset register book for Gambella office and update timely.

  • Ensure the completeness of payment supporting documents.

  • Responsible for managing petty cash like disbursements, replenishment and petty cash count.

  • Ensure bank and petty cash transactions are recorded on excel sheets on a daily basis.

  • Prepare Gambella office petty cash payment documents and record on the petty cash registration book and make ready for reimbursement.

  • Prepare Gambella office monthly petty cash reconciliation and submit to Accountant for review and further approval by scanning and organizing financial documents for regular financial report preparation

  • Provide support role to the Accountant in audits (internal and external) including preparation of documents for internal, external and donor audits), in the field office when necessary.

Administration management

  • Provide administrative and operational support to the Gambella office and the Ethiopia Addis Ababa office, such as purchasing office supplies, managing office fixed asset registration book, etc.

  • Provide logistical and administrative support for volunteers, staff and other external stakeholder for field missions to Gambella. This may include, but is not limited to making hotel reservations, booking flights, distributing email invitations, ordering and ensuring the delivery of meals during the field visit 

  • Prepare the Gambella office procurement plan and follow the implementation of timely procurement.

  • Carry out other relevant assignments, as requested.

Duty Station: Gambella

Salary and Incentives:  Gross salary of 31,000 ETB per month subject to government taxation  

Language Requirement: Strong Amharic and English skills Fluency in both English and Amharic (written and spoken) is mandatory and knowing other local languages is an asset

 Academic Requirements and relevant Experience

  • BA in Accounting and Finance Zero to One year  work experience in a similar field

Required Skills

  • Basic knowledge and skill of accounting principles

  • Basic knowledge and skill of computer including Microsoft offices such as use of words, excel, internet, teams and financial tools.

  • Motivated to work

  • Skill of coordination and team work

  • Easily coachable and willing to learn

  • Willing to work during working hours with flexibility of working out of regular work hours

  • Strong communication with government authorities and the host community.

  • Willingness to conduct field visits and the ability to work under pressure.
