Job Overview:

The Finance Officer is responsible for managing and overseeing the financial operations of the company, ensuring compliance with regulatory requirements, and maintaining accurate financial records. This role involves financial reporting, reconciliation, and coordination with branch finance teams to support the organization’s goals. The Finance Officer will play a key role in ensuring the efficiency and accuracy of payroll preparation, commission calculations, and the supervision of shop finance officers while maintaining alignment with company policies and statutory obligations

Duties and Responsibilites:

Financial Reporting & Reconciliation:

  • Prepare and submit weekly bank reconciliation reports and actuals to management.

  • Regularly monitor stock values and provide updates to management.

  • Collect, organize, and maintain accurate records of bank statements.

  • Oversee and supervise the financial operations of shops by RC.

  • Process and manage bank loans as required.

  • Review and prepare credit balance reports for accuracy and compliance.

  • Ensure daily warehouse reconciliation reports are completed and reviewed.

  • Monitor and approve daily branch bank reconciliations for accuracy.

Compliance & Regulatory Oversight:

  • Ensure timely submission and payment of statutory obligations, including VAT, income tax, and pension contributions.

  • Prepare all rent and utility payments (electric, telephone and fuel )
    Order CPV,PCPV and other pads

  • Follow up on compliance documentation and ensure all filing requirements are met.

  • Review and approve CPV (Cheque Payment Voucher) requests and ensure proper documentation and filing.

Coordination & Supervision:

  • Conduct regular meetings with the finance supervisor to align on tasks and priorities.

  • Coordinate with the head office finance department for updates and reporting.

  • Hold meetings with branch finance teams to provide guidance, resolve issues, and review updates.

  • Approve and consolidate weekly reports submitted by branches into a comprehensive company finance report.

  • Supervise and ensure accurate issuance and recording of receipts by branches.

Planning & Oversight:

  • Develop weekly plans for the finance department and communicate them effectively to the team.

  • Oversee and supervise the store-out and transfer processes for accurate recording.

  • Update and monitor the status of daily tasks using internal communication platforms (e.g., Telegram).

Payroll & Commissions:

  • Prepare payroll, ensuring accuracy and adherence to company policies and legal requirements.

  • Calculate and prepare commission payouts for eligible employees.

  • Supervise shop finance officers, ensuring they adhere to financial processes and company standards.

Job Requirements:

  • Education: Bachelor's degree in Accounting, Finance, or a related field.

  • Expereince: Minimum of 1-2 of working experience in a finance-related role.

Technical Skills:

  • Proficiency in financial software and Microsoft Office Suite, particularly Excel.

  • Strong understanding of financial reporting, reconciliation, and compliance requirements.

  • Familiarity with VAT, income tax, and pension regulations

Analytical Skills:

  • Strong problem-solving and critical-thinking abilities to address discrepancies and improve processes.

  • Ability to analyze financial data, identify trends, and provide actionable insights.

Organizational Skills:

  • Excellent time management and ability to handle multiple tasks simultaneously.

  • Strong attention to detail and accuracy in maintaining records and preparing reports.

Communication and Interpersonal Skills:

  • Effective written and verbal communication skills to liaise with internal and external stakeholders.

  • Ability to lead meetings and provide guidance to teams across branches.

Leadership Skills:

  • Experience supervising teams and managing departmental priorities.

  • Ability to motivate and support team members in achieving goals.
