The position-holder is responsible for leading the information and reporting activities at the field level and ensuring accurate commodity reports are produced in line with the actual commodity transactions in the field and assisting field-based staff in utilizing the Last Mile Mobile Solutions-Item Tracking System (LMMS-ITS). This responsibility includes assessing training gaps and providing technical assistance for commodity staff in recording commodity transactions and reporting periodic reports. Additionally, the position holder serves as a focal person for information and reporting activities in the field, involves providing technical support related to the food assistance systems, and leads data management on the Partner Connect system.

Duties and Responsibilities:

  • Lead the monthly commodity report consolidation into the Last Mile Mobile Solutions-Item Tracking System (LMMS-ITS) and Partner Connect system in order to properly capture the commodity transactions on a monthly basis.

  • Support on technical issues related to food assistance reporting and information management systems.

  • Verify the physical inventory of warehouses to ensure that book balances match with the actual stock in the warehouses and provide an explanation for any variances.

  • Ensure that all commodity losses and claims procedures comply with the World Vision partnership and donor requirements

  • Lead capacity development through the provision of training on forms and systems for field staff to ensure adherence to WV’s standards in food delivery management and reporting to have adequate information management systems coverage.

  • Monitor warehouse and distribution documents regularly and check the reconciliation of LMMS-ITS and Partner Connect reports with the physical documents.  

  • Serves as a focal person for information and reporting activities in the field and escalates or immediately reports any incidents related to commodity accounting and reporting.

  • Ensure the required periodic food assistance reports are accurate, complete, and submitted on time to the Information and Reporting and MEAL team.

Job Requirements:

  • Eduction: BA/BSc Degree in IT Management, Accounting, Computer Science, Development studies, or in a related field.

  • Experience: 3-5 years of relevant work experience in food aid, food aid information management, and reporting positions, preferably in an NGO setting.

Preferred Knowledge and Qualifications

  • Experience in food assistance programming and good knowledge of systems and databases.

  • Prior experience with the WV LMMS-ITS and/or WFP Partner Connect system and LESS is an added advantage.

  • Strong written and verbal communication skills.

  • Ability to work independently and collaboratively with cross-functional teams.

  • Strong knowledge and working understanding of emergency food resource management;

  • Demonstrated capacity to lead the team with similar scope

  • INGO experience

  • Ability to work in high-tension and high-security-risk situations
