Duty Summary:
Front Desk Officer is the first point of contact for visitors and plays a vital role in creating a positive impression of the company. S/he is responsible for a variety of administrative and customer service tasks to ensure the smooth operation of the front office.
Duties and Responsibilities
Greet and welcome visitors; maintain a positive, professional office atmosphere.
Handle customer inquiries, queries, and complaints; ensure timely escalation.
Manage front-desk operations, including incoming calls, message taking, and call redirection.
Schedule meetings, interviews, and appointments.
Check, sort, and action emails regularly.
Maintain filing systems and ensure documents/records are properly organized and up to date.
Receive letters and packages, and route them to the correct destination.
Prepare outgoing mail and ensure proper handling of envelopes/packages.
Operate office equipment (photocopier, printer, etc.).
Job Requirements
Bachelor’s degree from a recognized university or college
2 years of relevant work experience (real estate industry is preferred)
Strong customer care skills and a professional service mindset
Discretion and trustworthiness, with the ability to handle confidential information responsibly
Proficiency in Microsoft Office programs
Excellent organizational skills and the ability to multitask efficiently
Flexibility and adaptability in a fast-paced office environment
Excellent oral and written communication skills
Fluency in English
Strong problem-solving skills and sound judgment
Excellent communication and interpersonal abilities
Proactive attitude with the ability to anticipate needs and act accordingly
