Job Summary :- The Head of Property Administration is responsible for planning, organizing, and overseeing the effective management, utilization, maintenance, and safeguarding of the organization’s properties and fixed assets. The role ensures proper property administration systems are in place, including registration, allocation, tracking, maintenance coordination, and compliance with organizational policies and legal requirements. The position also leads the property administration team, ensures accurate asset records, supports audits, and contributes to cost control and efficient asset utilization across the organization.

Generic Duties:

  • Sets deadlines in ways that comply with department’s plans and communicate them to subordinates,

  • Organizes workflow and ensure that employees understand their duties or delegated tasks,

  • Monitors employee productivity and provides constructive feedback and coaching,

Main Duties and Responsibilities:

  • Prepares annual property administration plans;

  • Develops methods and improve procedures for storage and issuing property and plan use of storage facilities, inventories supplies, and equipment.

  • Makes surprise fixed asset counts and check balance accuracy,

  • Follow periodic utilities (Electric, Water and Ethio-telecom) payment of the company and international staff by cooperating with liaison officers, 

  • Organizes and controls the property administration activities of the company,

  • Ensures the property administration decisions are consistent with the policies of the company,

  • Advises the Admin & Facilities manager on property administration matters,

  • Coordinate property administration tasks across the company,

  •  Maintains equitable distribution of properties,

  • Prepare bid documents with clear specifications for mandated items,

  • Distributes received goods and services to units according to their request and at the right time,

  • Reports the property's financial status, occupancy and expiring leases to property owners,

  • Travel to other sites to provide support in general services and property administrations,

  • Perform other duties assigned by immediate supervisor.

Job Requirements

Qualification and Skills

  • BA/MA in Property Administration, Management & Mechanical Engineering

Experience:  

  • Minimum of 6 years of relevant work experience in property administration, asset management, or related roles.

Skills:

  • Strong knowledge of property and fixed asset management systems

  • Good understanding of mechanical systems, equipment, and machinery maintenance

  • Ability to plan, supervise, and coordinate preventive and corrective maintenance

  • Experience in asset registration, tagging, tracking, and disposal procedures

  • Knowledge of procurement and inventory control related to spare parts and assets

  • Strong leadership and team management skills

  • Excellent organizational and reporting skills
