Job Summary
We are seeking a highly organized, proactive, and competent HR and Admin Officer to oversee our human resource functions, daily office administration, and asset/fleet operations. The successful candidate will play a critical role in maintaining our Quality Management System (QMS) in alignment with ISO 9001:2015 standards, ensuring compliance, streamlining office operations, and supporting staff productivity across both our Head Office and Dukem facility.
Job Requirements:
Education:
Bachelor’s Degree in Human Resource Management, Business Administration, Public Administration, or with related field of study
Experience:
Minimum of 2- 5 years of professional experience in a combined HR and Administration role.
Prior experience supervising support staff and managing facilities.
Salary: Negotiable
Duties and Responsibilities:
Human Resources Administration:
Manage the end-to-end recruitment process, from drafting job vacancies to onboarding new team members.
Maintain complete, up-to-date, and audit-ready physical and digital employee personnel files.
Manage employee leave and attendance tracking.
Coordinate the rollout of Job Descriptions (JDs) and Key Performance Indicators (KPIs)
Ensure signed copies are filed.
Coordinate staff training programs, maintain the annual training calendar, and evaluate training effectiveness.
Ensure all HR operations are compliant with local labor laws and internal HR manuals.
Office Administration & Facilities Management:
Oversee daily office operations and maintenance at the Head Office and the Dukem branch.
Supervise general services staff, including security, cleaners and assistants
Manage the procurement and inventory of office stationery, and cleaning supplies.
Liaise with service providers to resolve utility, internet, and office connectivity issues.
Assist in drafting, processing, and tracking office lease agreements and vendor contracts.
Fleet & Asset Compliance:
Oversee the company fleet, ensuring timely renewal of vehicle inspections (Bolo) and third-party insurance.
Liaise with local government offices, insurance companies, and transport regulations.
Skills & Competencies
In-depth knowledge of local labor laws and standard administrative procedures.
Strong verbal and written communication skills in both English and Amharic.
Excellent negotiation and vendor management skills.
High level of integrity, confidentiality, and discretion when handling sensitive staff and financial documents.
Ability to work independently, multitask, and prioritize tasks effectively under tight deadlines.
