General Functions

Under the direct supervision of the Finance & Administration Manager, the HR & Administration Officer is responsible for managing and coordinating human resource management activities, administrative services, employee relations, and office support functions of Aberar Jufar Import & Export Merchandize Business Plc.

He/she supports the development and implementation of HR policies, recruitment and selection processes, employee records management, performance monitoring, training coordination, payroll administration, and staff welfare activities. The role also ensures effective administrative support, proper office management, and compliance with company policies, labor regulations, and organizational procedures.

The HR & Administration Officer works closely with all departments including Import, Export, Logistics & Customs, Sales & Market Development, Finance, and Support Services to ensure effective workforce management, smooth administrative operations, and a productive working environment.

Job Requirements

Education:

  • College Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, Public Administration, Organizational Development, Office Administration or with related field of study

Experience:

  • Minimum of 2–4 years experience for Degree holders and 4–6 years of experience for Diploma holders

  • Experience in human resource management, administration, trading companies, import-export businesses, or private organizations is highly preferred.

Reporting to:  Finance & Administration Manager

Duties and Responsibilities

  • Perform daily human resource and administrative activities of the Company.

  • Provide Idea in developing, implementing, and updating HR policies, procedures, and guidelines issues

  • Manages employee recruitment processes including vacancy announcements, screening, interviews, and selection coordination.

  • Prepares employment contracts, appointment letters, and other employee-related documents.

  • Maintains updated employee personal files, HR records, and confidential personnel information.

  • Monitors employee attendance, leave records, overtime, and staff movements.

  • Prepares HR reports related to staffing, attendance, turnover, and employee performance.

  • Coordinates employee onboarding and orientation programs for new employees.

  • Perform employee performance appraisal processes and maintains performance records.

  • Assess employee training needs and coordinates staff development programs.

  • Propose employee benefits, allowances, incentives, and welfare programs in coordination with Finance Department.

  • Prepares payroll-related information including attendance, leave, overtime, and employee changes for salary processing.

  • Ensures proper implementation of labor laws, company regulations, and workplace policies.

  • Handles employee relations issues and supports conflict resolution processes.

  • Provides guidance to employees regarding HR procedures, benefits, and administrative matters.

  • Manages company correspondence, official letters, memos, and administrative documents.

  • Ensures proper filing and documentation systems for HR and administrative records.

  • Supports management in organizing meetings, workshops, and company events.

  •  Preparing organizational manpower plans and staffing requirements.

  • Prepare employee disciplinary procedures in accordance with company rules and regulations.

  • Prepares periodic HR and administrative performance reports for management review.

  • Ensures confidentiality of employee information and company administrative documents.

  • Performs any other related duties assigned by the Finance & Administration Manager.

Skills & Competencies

  • Good knowledge of human resource management principles and practices.

  • Understanding of Ethiopian labor laws, employment procedures, and workplace regulations.

  • Knowledge of recruitment, employee relations, performance management, and HR documentation.

  • Familiarity with payroll processes and employee benefits administration.

  • Ability to maintain confidential personnel records and information.

  • Good knowledge of office administration and organizational procedures.

  • Proficiency in HR documentation, report preparation, and record management.

  • Familiarity with HR software and computerized systems is an advantage.

  • Strong communication and interpersonal skills.

  • Good problem-solving and conflict management abilities.

  • Strong organizational skills with attention to detail.

  • Ability to coordinate multiple tasks and work under pressure.

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).

  • Good command of written and spoken English.

  • Ability to work effectively with employees at all organizational levels.
