Job Summary
The Import & Export Officer manages the end-to-end documentation process for shipping goods internationally, ensuring compliance with customs, regulatory bodies, and buyer requirements. Key duties include preparing invoices, packing lists, and Certificates of Origin, coordinating with freight forwarders, and handling Letters of Credit (LC) to facilitate timely payments.
Job Requirements
Education:
Bachelor's Degree in Business Management, Management, Logistics, Supply Chain Management, or with related field of study
Completed training from ECX
Experience:
Minimum of 4 years proven experience in export documentation and export trade operations.
Practical experience working with freight forwarders, banks, inspection bodies, and logistics service providers.

Duties & Responsibilities
Prepare, review, and process export documentation, including commercial invoices, packing lists, certificates of origin, contracts, shipping instructions, and related trade documents.
Ensure all export documents comply with buyer requirements, international trade standards, and applicable Ethiopian regulations.
Coordinate closely with shipping lines, freight forwarders, inspection agencies, clearing agents, and logistics partners to ensure smooth shipment execution.
Follow up on vessel schedules, bookings, cargo readiness, and shipment confirmations.
Handle all documentation related to ECX, NBE, Customs Commission, and other regulatory bodies.
Maintain complete, accurate, and well-organized export records and filing systems.
Communicate with clients and stakeholders to provide shipment updates and dispatch required documents in a timely manner.
Identify documentation discrepancies or compliance issues and resolve them promptly to avoid shipment delays.
Prepare periodic export reports and provide regular updates to management.
Ensure full compliance with customs, tax, foreign trade, and exchange control regulations.
Monitor and control export-related costs, including freight charges, duties, taxes, and other logistics expenses.
Reconcile export transactions with accounting and financial records.
Work closely with the Chief Operating Officer and finance to ensure accuracy of payments, collections, and export proceeds.
