Since the early 1970s, we have been working to address the underlying causes of poverty and marginalization by focusing on developing sustainable livelihoods, providing water and sanitation, agriculture, climate research, gender, and humanitarian issues.

TEAM PURPOSE

The Business Support team is accountable for ensuring that all business procedures (Finance, Human Resource, Supply Chain and IT) are adhered to and implemented in a manner that is compliant with Oxfam policies, standards and procedures.

In particular, the Supply chain and Logistics Team will provide professional, business-focused support for logistics, utilizing proactive solutions-based approaches to resolve issues and ensuring that operational business requirements are effectively managed in order to deliver organizational results and help achieve program objectives. 

OBJECTIVE OF THE INTERNSHIP 

The objective of this internship is to hire a Supply chain intern who will be part of the Supply chain and logistics team in Addis Ababa. The position owner will support the logistics team on different supply and logistics activities.

ROLE DESCRIPTION

Working directly with the logistics team, as well as indirectly with partners, internal departments, suppliers, and other stakeholders. 

Specific responsibilities

Supply management:

  • Responsible for overall procurement files as per set standards, data flow, and all other relevant files.

  • Upload scanned documents to Box per project folder and share the Box link biweekly.

  • Timely payment facilitation for suppliers

  • Ensure that bills, invoices, and purchase orders /contract are reviewed before being submitted for payment or signature.

  • Provide support to the Supply team by assisting with OXFAM and donor compliance requirements.

  • Assist the supply team with the timely dispatch of tender documents, TORs, and the preparation of contracts

  • In the absence of the Supply chain officer, organize tender committee meetings.

  • Maintain an appropriate record of all procurement activities, decisions, and contracts the process is accurately documented for the purposes of accountability and auditing.

  • Proactively and effectively communicate with the logistics team (procurement, fleet, warehouse).

  • Establishing and maintaining ethical, professional relationships with suppliers.

Fleet Management:

  • Ensure track point information is updated and all vehicle information is properly tracked by the country program.

  • Fuel consumption data for each vehicle should be entered in Teramar in a timely manner.

  • Ensure all vehicles have the required onboard documentation and that all documentation, including insurance, is current.

  • Ensure that vehicle logbooks are accurately filled out and that the condition of vehicles is recorded.

  • Work closely with the fleet officer to prepare weekly and monthly fleet reports.

  • Participate in vehicle maintenance schedules

Experience, Knowledge & Competencies

TECHNICAL SKILLS AND KNOWLEDGE 

A bachelor's degree in logistics or supply chain management, or any other field that can add value to the position.

  • Newly graduated students without any experience. The internship program is also open to master's degree holders who are interested in working as interns.

  • Strong communication and writing skills.

  • Experience using computers and Microsoft Office applications

  • Ability to work in a team environment as well as independently.

  • A desire to analyze data and a high level of attention to detail.

  • Excellent planning and prioritization abilities.

  • Self-motivated, dependable, and a good problem-solver.

  • Ability to work effectively in a diverse team

  • Willing to work additional hours when necessary.
