PURPOSE OF THE ROLE
The Logistics and Asset Management Officer is responsible to implement high standards of store management practices in line with professional material management principles, established methods and best practice in line with Farm Africa Ethiopia logistics policy and procedure to enable FA achieve its objectives.KEY TASKS AND RESPONSIBILITIES
Asset management Assistance:
Coordinate purchased program supplies and ensure goods/commodities are delivered to the program in timely manner.
Collect weekly/monthly stock report from Coordination office and project storekeepers and verify the reports against the physical count.
Ensure store documents are adequately utilized in all time.
Ensure dispatched goods (MDS) for their safe arrival to the field offices.
Maintain goods stock records systems and make sure all relevant information are shown on the stock and bin cards as per Farm Africa and donor’s guideline
Produce a monthly consolidate stock report and conduct a regular sample stock count and do the necessary correction/measure.
Support and actively participate in annual general fixed asset inventory and stock items count is done in accordance with Farm Africa- Ethiopia inventory management guidelines.
Responsible for effective management of coordination and project offices low and high value assets and ensuring that all assets are secured, tagged, recorded, tracked, and monitored through an efficient and effective asset management system.
Maintain handover of the organization’s fixed assets during the closure of projects
Maintain stationary and financial pads and another warehouse property at Country office
Identifying scrapped and outdated assets for disposal.
Actively participate in regular fixed asset count & verifications are done in country office
Manage low value asset disposal process and participate in the process in accordance with the asset disposal guideline.
Fleet Management Assistance:
Make sure country office transport functions and support organizational resources are effectively utilized and adhered to Farm Africa transport guideline and standards.
Make sure authorized vehicles leave the office and track/record vehicles movement on movement board.
Arrange transport for Farm Africa visitors from to the airport or to their destination within Adds Ababa
Support Farm Africa vehicles and Motorbikes are annually inspected and entitled for road worthy certificate from Ethiopian Roads Transport Authority.
Assist Farm Africa vehicles and motorbikes are covered annually by third-party insurance.
Follow up of receiving, return used spare part of vehicles and maintenance from workshop.
Follow up and make sure that precaution items are available in all FA’s vehicles such as first aid kid, fire extinguisher, tools, triangle reflector and etc
Coordinate and arrange weekend and after working hour transport requests for international staffs
Facilitate taxi requests, maintain taxi usage records and process payments
Advice staffs to choose cost effective and safe transportation systems from available alternatives.
Book rented vehicles requests and ensure vehicles are properly inspected before departing to the field.
Maintain good relationship with transport service providers like vehicle rental companies.
Support rented drivers received proper induction before leaving to project office
Maintain proper records/database for rented vehicles usage and process payments timely with proper supporting documents
Monitoring fuel consumption, follow up the completion of the vehicle logbook and submitting report monthly.
Facilitate vehicle incident report to the insurance company and logistic team on time.
Produce very brief monthly transport reports highlighting; challenges, satisfied transport request and etc....

PERSON SPECIFICATION Essential Desirable
Education, qualifications & other knowledge
BA degree in Logistics and supply chain management or relevant field Driver’s License Grade 3 or equivalent is an advantageous.
Experience
Minimum 4 years of experience in Logistics, store and fleet management NGO experience is advantageous
Experience of asset and inventory management Experience of using
Skills & abilities
Computer skills in MS Office software Dynamic and highly motivated;
Skills in working as part of a team Able to work with minimal supervision;
Excellent communicator at all levels;
