Job Summary
The Logistics Manager is responsible for overseeing the end-to-end supply chain, including international shipping, customs clearance, warehousing, inventory management, and domestic distribution of medical equipment. The role ensures timely, cost-effective, and compliant movement of goods from suppliers to customers.
Key Responsibilities
International Shipping & Freight Management
Coordinate with suppliers and freight forwarders for timely shipment of medical equipment.
Select and evaluate freight forwarders based on cost, transit time, and reliability.
Negotiate freight rates and service level agreements (SLAs) with logistics service providers.
Ensure proper Incoterms application and alignment with procurement contracts.
Track shipments and provide proactive updates to internal stakeholders.
Customs Clearance & Compliance
Prepare and submit customs declaration documents to Ethiopian Customs Commission.
Ensure all import documents are complete (Bill of Lading, Commercial Invoice, Packing List, Import Permit, Free Sale Certificate, COA, etc.).
Calculate and process customs duties, taxes, and VAT exemptions where applicable.
Liaise with customs brokers and regulatory authorities for smooth clearance.
Resolve customs holds, inspections, and valuation disputes promptly.
Warehousing & Inventory Management
Oversee warehouse operations including receiving, storage, picking, packing, and dispatch.
Ensure proper storage conditions for medical equipment (temperature, humidity, cleanliness).
Maintain accurate inventory records in ERP system (Odoo).
Conduct regular cycle counts and annual physical inventory.
Implement FIFO (First-In-First-Out) inventory rotation.
Domestic Distribution & Last-Mile Delivery
Coordinate delivery of medical equipment to customers, hospitals, and project sites.
Manage transportation providers and delivery schedules.
Ensure proper handling and documentation during dispatch (delivery notes, waybills).
Track deliveries and obtain proof of delivery (POD) from customers.
Compliance & Quality Assurance
Ensure logistics operations comply with EFDA storage and distribution guidelines for medical devices.
Maintain temperature logs and handling records for sensitive equipment.
Support internal and external audits with complete logistics documentation.
Implement corrective actions for logistics-related non-conformities.
Cost Management & Optimization
Monitor logistics costs and identify cost-saving opportunities.
Prepare and manage logistics budget.
Optimize shipping consolidation and routing to reduce costs.
Team & Meetings
Lead weekly Logistics team meetings to review shipment status and warehouse operations.
Attend weekly Management meeting and present logistics status updates.
Attend Monthly Sales and Service alignment meeting.
Lead daily team huddles for task prioritization.
Keep meeting minutes and attendance records for logistics meetings.
Coordinate with administrative officer for meeting room reservations.
Interdepartmental Coordination
Work closely with Procurement on shipment timelines and documentation.
Support Regulatory Affairs with customs documentation and inspections.
Coordinate with Sales and Product Managers on delivery schedules.
Collaborate with Finance on duty payments and cost allocation.
Interface with Quality department on inspection and release processes.
General Responsibility
Understand organizational workflows and logistics procedures.
Take corrective action for logistics-related incidents and non-conformities.
Participate in team member performance evaluations.
Recommend third-party logistics (3PL) providers to General Manager.
Maintain logistics KPIs and prepare monthly performance reports.
Authority
Approve freight forwarder selection within approved budget.
Authorize domestic dispatch and delivery schedules.
Approve inventory adjustments within defined limits.
Represent Logistics department in management meetings.
Recommend customs brokers and transport providers.

Job Requirements
Qualifications
Education
BSc in Logistics, Supply Chain Management, Business Administration, or related field
Experience
5+ years in logistics, including 2+ years in a managerial role; medical equipment or pharmaceutical logistics preferre
Certifications
Supply chain certification (CIPS, APICS, or equivalent) preferred; Customs clearance certification is an advantage
Competencies
Knowledge
International shipping (air/sea), Incoterms, Ethiopian customs procedures, EFDA storage guidelines for medical devices, warehouse management, ERP systems
Skills
