Job Purpose
The Marketing administration and reporting assistant supports the day today operations the marketing team by ensuring activities are well coordinated, properly documented and delivered on time and within the budget. The role required strong attention to detail, good follow-up, and the ability to manage multiple tasks in the fast-moving environment. The position work closely with the internal teams and external partner helping keep marketing activities organized, budgets on track and communication clear. It also plays an important role in maintaining reporting accuracy and improving overall team efficiency.
Job Summary
Position Title: Marketing Administration & Reporting Assistant
Reports To: Marketing Head
Duty Station: Addis Ababa Head Office
Salary & Benefits: Negotiable, commensurate with qualifications and experience
Duties and Responsibilities
Tracks and monitors marketing spend against the approved budget and highlights any variances..
Maintains updated records of commitments and overall budget utilization.
Organizes weekly, monthly, and quarterly meetings, prepares agendas, and documents minutes with clear action follow-ups.
Drafts external letters, internal memos, and other formal communications required for marketing activities.
Collects and reviews sponsorship proposals, quotations, and partnership requests.
Supports evaluation of proposals based on cost and relevance to marketing objectives.
Coordinates agreements and ensures deliverables are tracked and followed up.
Follows up on raising and processing PRs and POs to support timely execution of activities.
Supports internal approvals and follows up on payments where needed.
Tracks vendor and partner deliverables to ensure timelines are met.
Assists in preparing reports, presentations, and updates for management.
Improves documentation and administrative processes for better efficiency.
Maintains organized records of all marketing documents and communications.
Ensures accuracy and confidentiality of information at all times.
Takes on additional tasks as assigned by the Head of Marketing.
Perform additional duties commensurate with the current role, as and when requested by management.

Job Specification
Educational Qualifications
Bachelor’s degree or above in Marketing, Business administration, finance any or related field.
Professional Experience
3-5 years of relevant experience the role and working in fast paced, project-based environments such us real estate, construction, engineering, or service industries is highly desirable.

Good understanding of Excel
Behavioural & Functional Competencies
Strong organizational and coordination skill.
Good understanding of budgeting and cost tracking.
Ability to work under the pressure and manage multiple priorities.
Strong reporting, documentation, and analytical capability
