Key Duties

1. Core Purpose

  • Provide direct, high-level administrative support to the CEO.

  • Act as the first point of contact for internal and external stakeholders.

  • Ensure the CEO’s time, communication, and priorities are managed effectively.

Duties and Responsibilities:

Executive Support 

  • Manage CEO’s calendar, appointments, and travel.

  • Prepare agendas, minutes, and follow-up actions for leadership meetings.

  • Draft correspondence, reports, and presentations for the CEO.

Gatekeeping & Communication 

  • Screen calls, emails, and visitors to prioritize CEO’s time.

  • Maintain confidentiality and discretion in sensitive matters.

  • Act as liaison between CEO, GM and DGMs, and external partners.

Office Administration 

  • Coordinate office logistics, supplies, and facility needs for executive office.

  • Support HR/Admin in onboarding and executive-level events.

  • Documentation & Records 

    • Maintain filing systems (digital & physical) for contracts, reports, and confidential records.

    • Ensure timely submission of reports and documents to CEO/GM.

Job Requirements

Ideal Background

  • Education: Bachelor’s in Business Administration, Office Management, or related field.

  • Experience: 2–3 years in executive secretarial/administrative roles, with at least 2 years supporting C-suite executives.

  • Skills

    • Strong organizational and multitasking ability.

    • Excellent written and verbal communication.

    • Proficiency in MS Office, ERP, and digital collaboration tools.

    • Discretion, professionalism, and diplomacy.
