Position Title: Office Assistant

Department: Administration / Operations

Reports To: Office Manager / Admin Manager / Operations Manager

Number Required: 2(Two)

Job Summary

The Office Assistant provides administrative and clerical support to ensure smooth daily operations. The role involves document handling, communication, coordination, and basic operational support across departments, especially in import/export logistics and hospitality services.

Key Responsibilities

1. Administrative Support

  • Maintain and organize physical and electronic filing system

  • Prepare letters, reports, and internal documents

  • Perform Photocopying, scanning and printing tasks

  • Monitor and manage office supplies and inventory

2. Communication

  • Receive, Screen and direct phone calls, emails, and visitors professionally.

  • Facilitate communication between departments and external stakeholders

  • Draft routine correspondence and memos.

3. Hospitality and Operational support

  • Assist with travel, accommodation and event arrangements. Support front office tasks when needed.

  • Support front office and gust service activities when required.

  • Coordinate logistics for meetings, conferences, and company events

4. Data management and Reporting

  • Enter and update data in systems (ERP or Excel) accurately

  • Maintain Organized records for administrative and operational use

  • Support basic reporting and documentation asks

5. General Office Duties

  • Ensure cleanliness and proper organization of office spaces

  • Provide day to day support to staff and management.

  • Perform additional duties as assigned

Job Requirements

Education

  • Bachelor’s Degree in: Business Administration, Management, communication, Hospitality Management or related field

Experience

  • 2 years of relevant experience. 

  • Prior experience in import/export, hospitality, or administrative roles is an advantage

Skills and Competence

  • Proficiency in Ms. Office application (MS Word, Excel, Email)

  • Strong verbal and written communication skills

  • Good organizational and multitasking abilities

  • Attention to detail and accuracy

  • Customer service orientation

Languages 

  • Good Command of English (Required)

  • High level of integrity and reliability

  • Strong time management skills

  • Ability to work under pressure and meet deadlines

Additional Advantages

  • Knowledge of customs procedures and documentation
