Job Summary

The Pharmacy Assistant supports the effective management and delivery of pharmaceutical services within a health and nutrition project, ensuring the availability, proper storage, and rational use of medicines and nutrition supplies. Working under the supervision of a pharmacist or medical supervisor, the role contributes to maintaining quality standards, preventing stock-outs, and supporting integrated health and nutrition services in line with ECHO requirements and national guidelines.

Job Requirements

Education:

  • Bachelor's Degree in Pharmacy or with related filed of study

Experience:

  • 3 years of experience in Humanitarian sector out of which 2 years of experience in NGO would be a significant asset.

  • Previous experience in Pharmacy or Medical Supply Management, preferably in humanitarian or nutrition programs.

Location: Lalibela, North Wollo

Duration of Mission: 6 Months 

Duties and Responsibilities

Pharmacy and Stock Management

  • Receive, check, and properly store medicines and nutrition supplies in accordance with standard procedures.

  • Maintain accurate stock records (stock cards, bin cards, electronic systems where applicable).

  • Monitor stock levels and inform supervisors of low stock or potential stock-outs.

  • Ensure First Expiry, First Out (FEFO) principles are applied consistently.

  • Conduct regular physical stock counts and reconcile discrepancies. Coordinate with local health authorities, consortium partners, and other partners to ensure harmonized response efforts

Quality Assurance and Compliance

  • Ensure proper storage conditions (temperature, humidity, cleanliness) for all pharmaceuticals and nutrition supplies.

  • Monitor expiry dates and remove damaged or expired items following disposal procedures.

  • Maintain cleanliness and organization of the pharmacy store and dispensing area.

  • Ensure compliance with national regulations, organizational policies, and ECHO guidelines.

Documentation and Reporting

  • Maintain up-to-date records of stock movements (receipts, issues, losses, adjustments).

  • Prepare routine stock and consumption reports (daily, weekly, monthly).

  • Support data collection for health and nutrition program reporting.

  • Ensure proper filing of all pharmacy-related documents.

Supply Chain Support

  • Assist in quantification and forecasting of pharmaceutical and nutrition needs.

  • Support timely ordering and follow-up of supplies.

  • Coordinate with logistics and program teams to ensure timely delivery and distribution.

  • Participate in inventory audits and donor compliance checks.

Coordination and Communication

  • Work closely with health and nutrition staff to ensure appropriate use of medicines and supplies.

  • Communicate stock status and challenges to supervisors in a timely manner.

Skills & Competencies

  • Compliance with safety rules

  • Good mastery of Word and Excel

  • English, Amharic and other local language

  • Knowledge of essential medicines and basic nutrition commodities (e.g., RUTF).

  • Familiarity with stock management tools and reporting formats.

  • Strong organizational skills and attention to detail.

  • Ability to work in challenging environments and as part of a multidisciplinary team.

  • IT skills, computer literacy, including database management (beneficiary database, etc).
