Job Purpose

The Project HR Digitalization Officer is responsible for managing and implementing digital HR operations at project sites through the organization’s HR Information System (HRIS) and other digital tools. The role ensures accurate digital management of employee information, attendance, payroll inputs, and workforce records while supporting the full delivery of HR functions for project operations.

The position plays a critical role in supporting HR digital transformation by ensuring that HR activities such as workforce planning, recruitment support, onboarding, attendance tracking, and HR data management are effectively executed through digital systems, minimizing manual processes and ensuring reliable HR information for decision-making.

Major Duties and Responsibilities

  1. Manage digital HR systems to ensure accurate recording and maintenance of employee attendance, staff information, and payroll-related data for all project employees.

  2. Administer and monitor digital attendance systems, including biometric devices or digital attendance tools, to ensure reliable tracking of employee attendance, working hours, overtime, absences, and workforce presence.

  3. Ensure that attendance data is verified, properly recorded, and accurately integrated into payroll preparation processes.

  4. Maintain complete and updated digital employee records in the HR system, including employee personal data, employment details, job assignments, project deployment, and payroll information.

  5. Manage digital documentation and ensure that employee files, contracts, identification documents, and other personnel records are properly digitized and organized in the HR system.

  6. Support overall project HR operations using digital HR tools, including workforce planning, vacancy request management, recruitment support, employee onboarding, staff information management, and attendance administration.

  7. Monitor workforce movement at project sites including hiring, employee deployment, transfers, and employee exits, and ensure that these changes are properly updated in the HR system.

  8. Ensure effective check and balance of daily labor (DL) employees by verifying that all hired workers are properly registered in the HR system and that only actively working employees are included in attendance and payroll records.

  9. Monitor and control overtime management by ensuring accurate recording, verification, and approval of overtime hours in coordination with project supervisors.

  10. Ensure timely processing of workforce hiring and employee exit procedures through the HR digital system.

  11. Generate workforce attendance summaries, manpower reports, and HR data required for payroll processing, project management, and HR reporting.

  12. Coordinate with project supervisors, engineers, and HR personnel to ensure accurate workforce information and proper utilization of HR digital systems.

  13. Maintain high standards of HR data accuracy by regularly verifying employee records and correcting errors, duplicate entries, or missing information within the HR database.

  14. Ensure strict confidentiality and security of employee information stored in digital HR systems.

  15. Promote and ensure effective utilization of digital HR tools in project HR operations and contribute to the elimination of manual HR processes and paper-based records.

  16. Support the HR Digitalization Team in maintaining reliable workforce data and ensuring effective HR information flow between project sites and head office.

  17. Perform other HR-related duties and digital HR operational tasks assigned by the HR Digitalization Manager or HR Department to support efficient HR service delivery at project sites.

Education

Bachelor’s Degree in one of the following fields:

  1. Computer Science

  2. Information Technology

  3. Information Systems

  4. Software Engineering

  5. Computer Engineering

Experience

  1. Fresh graduate or up to 1 year of relevant experience.
