Purpose of the job

A Sales Operation Coordinator is responsible for managing and tracking customer orders from the time they are placed until delivery. The role acts as a link between customers, sales teams, warehouses, logistics, and finance departments to ensure orders are processed accurately and on time.

Key Responsibilities

  • Processing sales orders in systems such as SYSPRO System 

  • Confirming product availability, pricing, and delivery schedules 

  • Coordinating with inventory, shipping, finance and production teams 

  • Communicating order status updates to customers and Sales operation and Sales teams 

  • Handling order changes, cancellations, and returns 

  • Preparing invoices, shipping documents and reports 

  • Maintaining accurate customer and order records

  • Prepare and facilitate KDs pricing, performance and other communication letters

  • Receive daily orders from district distribution supervisor and process on the system 

  • Check the orders are processed at Plant Level based on the daily stock allocation

  • Update and checking stock availability are ready for preparing sales order 

  • Communicate daily stock position of all SKU to the teams 

  • Prepared daily sales report per District & KDs and communicated to the Team.

  • Communicate with all functional and supportive department to run smoothly order generation.

Job Requirements

Education

  • BA Degree in Management, Accounting, Business Administration or related disciplines

Experience

  • Minimum of 3 years of Commercial experience particularly sales admin experience

Key competency & Behavioral Skill

  • Good analytical skills

  • Personal management skill

  • Attention to detail and accuracy 

  • Customer service ability 

  • Strong influencing skills

  • Ability to carry out assignments with little or no supervision

  • Business systems implementation skills.

  • Excellent IT skills including Excel and knowledge of at least one large financial/ERP system 

  • Numerical analysis skills also critical
