Summary:
Office Secretary is responsible for providing administrative and clerical support to ensure the smooth and efficient operation of the office. The Office Secretary acts as the primary point of contact for internal and external stakeholders, handling a variety of tasks to support the organization's day-to-day activities. Priority will be given to female applicants.
Responsibilities:
Manage and maintain the office's calendar, scheduling appointments, meetings, and events for staff members.
Answer and direct incoming phone calls, taking messages and routing them to the appropriate personnel.
Greet and receive visitors, ensuring they are attended to and directed to the correct individuals or locations.
Organize and maintain the office's filing system, both physical and electronic, ensuring documents are readily accessible.
Assist with the preparation and distribution of various office communications, such as memos, letters, and emails.
Coordinate the ordering and maintenance of office supplies, equipment, and other necessary resources.
Provide support for special projects or events, as needed, including the preparation of materials and logistical coordination.
Maintain confidentiality and discretion when handling sensitive information.
Collaborate with other administrative staff to ensure the efficient and seamless operation of the office.
Continuously monitor and suggest improvements to office procedures and processes to enhance productivity and efficiency.
Perform other administrative duties as assigned by the office manager or supervisors.
Job Requirements
Qualifications:
Bachelor's degree in related field
Proven proficiency in speaking, reading, and writing Affan Oromo, Amharic, and English
Proven ability to handle highly sensitive and confidential information with the utmost discretion
Exceptional verbal and written communication skills in all three languages
Strong organizational and time management skills, with the ability to multi-task and meet deadlines
Proficient in the use of office equipment, software, and technology, including word processing, spreadsheets, and email applications
Excellent problem-solving and decision-making skills, with a solutions-oriented mindset
Commitment to providing exceptional customer service and a positive, professional manner
Attention to detail and a high level of accuracy in all work
