Duties and Responsibilities

  • Plans, directs and controls the activities of all employees attendance, and additional time work;

  • Ensures adequate provision of office services;

  • Directs and controls the distribution of supplies and equipment to user company head offices and units; 

  • Participates in the preparation HR strategy and formulation of Hr policies and procedures;

  • Participates in the preparation of job descriptions and specifications as well as distribution.

  • Manage in salary administration programs, reviewing changes in wages and salaries for conformance to policy, incentive program calculations and communications. 

  • Participates in process of disseminating and interpreting HR policy manuals and other reference materials and ensures that all staffs are kept informed of company’s policies and procedures;

  • Controls daily employees’ attendance, Over time work and canteen service delivery with timekeepers, supervisor and Facility service team;

  • preparation of weekly, monthly quarterly, semi-annually & annually payroll;

  • Maintains integrity of all aspects of compensation and benefits data used in implementing compensation and benefits programs and processes. 

  • Assists in salary administration programs, reviewing changes in wages and salaries for conformance to policy, incentive program calculations and communications. 

  • Participles in the Preparation of various letters including employment letter for permanent and contract employees), salary adjustment/ increment /promotion, transfer, termination /dismissal, and handling, retirement and death;

  • Facilitates staff recruitment and selection proceses by recording applicants of applicants and preparing long list of candidates; coordinate with hiring manager; schedule interviews.

  • Screens and track candidates, coordinate interviews and check candidate references.

  • Performs background checks & due diligence, prepare job offer letter, confirm starting date and participates in induction programs.

  • Participates in the preparation of job descriptions and specifications as well as distribution.

  • Assists in salary administration programs, reviewing changes in wages and salaries for conformance to policy, incentive program calculations and communications. 

  • Participates in process of disseminating and interpreting HR policy manuals and other reference materials and ensures that all staffs are kept informed of company’s policies and procedures;

  • Controls daily employees’ attendance, Over time work and canteen service delivery with timekeepers, supervisor and Facility service team;

  • Participates in the preparation of monthly payroll;

  • Participates in disciplinary action taking process;

  • Maintains and updates list of staff profile in the HR data base(HRIS) by making timely entries of new employees and deleting those who have left the organization;

  • Handles inquiries and complaints related to compensation and benefits;

  • Handles personnel accidents report and employee’s insurance and medical cases. 

  • Prepares periodic performance report and submits to immediate supervisor.

  • Enhance product quality and reduce risks, gain production efficiencies, and garner /gather/ customer loyalty.

  • Handles personnel and property insurance, ensures timely renewal of policies and timely lodging of claims when accidents occur. 

  • Ensures that there is uninterrupted electric power and water supply to headquarters offices; follows up the proper functioning of sewerage and waste disposal systems;

  • Prepares annual work plan and budget, periodic performance reports and submits to Department; evaluates the performance of his/her subordinates periodically;

  • Comply Occupational safety, Environmental protection, Quality management system & other ISO standards based on the requirements.

  • Performs other similar duties as assigned by the Compensation & Benefit Mgt Division Head.

Job Requirements

Education & Experience:  BA Degree in Human Resource Management, Personnel Administration, Business Administration, Organizational Development/Accounting and any related fields in Management/General Service/Sociology or related field, 4/5/ years of experience  

     Required Competence Level

  • Good knowledge of general management principles and practices

  • Adequate knowledge of provision of common services and governing procedures

  • Ability to supervise and control a large number of workers of diverse background

  • Ability to communicate and write reports & basic computer application skills
