Role Purpose
The Senior HR Shared Services Specialist is responsible for leading and managing the delivery of efficient, accurate, and customer-focused HR services across the employee lifecycle. The role ensures the effective administration of HR processes, employee data management, payroll coordination, recruitment administration, employee relations support, reporting, and compliance activities while driving continuous improvement and service excellence within the HR function. The Candidate serves as the custodian of HR systems, employee records, and transactional HR processes, ensuring services are delivered consistently, professionally, and in compliance with company policies, labor legislation, and agreed service standards.
Key Responsibilities and Duties
1. HR Shared Services Management
Lead and supervise the HR Shared Services function to ensure efficient and effective HR service delivery.
Establish and maintain HR service standards, procedures, workflows, and performance measures.
Monitor workload distribution and ensure timely completion of HR transactions.
Drive continuous improvement initiatives to enhance service quality, operational efficiency, and customer satisfaction.
Promote a customer-focused culture within the HR Shared Services team.
2. Employee Lifecycle Administration
Oversee the administration of all employee lifecycle activities, including recruitment, onboarding, transfers, promotions, contract amendments, and terminations.
Ensure employee records are accurate, complete, confidential, and maintained in accordance with legal and company requirements.
Coordinate employee documentation and personnel file management.
Ensure timely processing of employee movements and organizational structure changes.
3. HR Information Systems and Data Management
Manage HR information systems (HRIS) and employee databases.
Ensure data integrity, confidentiality, and compliance with data protection requirements.
Oversee employee master data maintenance, system updates, and reporting accuracy.
Support HR digitalization and automation initiatives.
Generate and analyze workforce reports and HR metrics to support business decisions.
4. Recruitment and Onboarding Support
Coordinate recruitment administration activities from requisition through onboarding.
Ensure recruitment documentation and approvals are properly maintained.
Monitor recruitment process compliance and reporting requirements.
Support workforce planning activities and manpower reporting.
5. Payroll and Benefits Administration
Coordinate HR inputs required for payroll processing.
Ensure employee changes affecting payroll are processed accurately and on time.
Support the administration of employee benefits, allowances, and incentive programs.
Resolve payroll-related employee queries in collaboration with Finance and Payroll teams.
6. Employee Relations Support
Provide administrative and procedural support for disciplinary, grievance, incapacity, and other employee relations processes.
Maintain and archive employee relations documentation appropriately.
Monitor employee relations cases and maintain accurate records.
Support compliance with labor legislation and company policies.
7. Reporting and Workforce Analytics
Prepare monthly HR reports, dashboards, and workforce statistics.
Analyze trends relating to headcount, turnover, absenteeism, vacancies, and employee relations matters.
Provide management with workforce information to support decision-making.
Support annual budgeting and workforce planning processes.
8. Compliance and Governance
Ensure compliance with labor legislation, company policies, and HR procedures.
Coordinate HR audits and compliance reviews.
Maintain HR records in accordance with statutory and corporate requirements.
Monitor adherence to delegated authorities and approval processes.
Report people-related risks and assist in maintaining risk registers.
Participate in risk assessments and business improvement initiatives.
9. Stakeholder Management
Build effective working relationships with line management, employees, and external service providers.
Provide professional HR advice and guidance on HR administration and process-related matters.
Promote collaboration and excellent customer service across the HR function.
10. Financial and Commercial Responsibilities
Implement HR process optimization initiatives to improve cost efficiency.
Monitor HR operational expenditure and ensure activities remain within budget.
11. Leadership and People Management
Participate in cross-functional teamwork to achieve business objectives.
Demonstrate agility, resilience, and accountability.
Assist the HR team in maintaining focus, removing operational obstacles, and improving performance.
Develop employees through coaching, mentoring, encouragement, and performance feedback.

Conduct safety inspections and participate in workplace safety initiatives.
Ensure employees receive appropriate health and safety training.

Plan and organize daily, weekly, and monthly HR operational activities.
Distribute work effectively across the team and monitor progress.
Implement work plans and ensure timely delivery of HR services.
Minimize operational costs, inefficiencies, and waste.
14. Compliance and Reporting
Submit required HR statistics, reports, documentation, and records accurately and on time.
Ensure compliance with relevant legislation, company standards, and regulatory requirements.
Job Requirements
Qualifications
Degree or MA in Human Resources, Business Administration, or a related field from a recognized institution.
A Certification in Human Resources Management will be advantageous.
Human Resources operations and shared services.
Payroll administration and HR information systems.
HR process improvement and service delivery management.
Labor legislation, HR compliance, and governance practices.
HR reporting, workforce analytics, and data management.
Experience
Minimum of 8–10 years' Human Resources experience.
At least 3–5 years' experience in a supervisory or management role.
Experience in HR operations, HR shared services, payroll administration, and HR systems.
Experience within mining, construction, manufacturing, or other large operational environments will be advantageous.
Demonstrated experience in HR process improvement and service delivery management.
Advanced proficiency in HRIS platforms (e.g., BambooHR, SAP SuccessFactors) and automated time and attendance systems.
