Purpose of the Job: Under the direct supervision of the OFFICE ADMIN, SENIOR HUMAN RESOURCE & GENERAL SERVICE OFFICER is responsible for, (I) providing high-quality, generalist HR support and guidance to managers and employees, with particular attention to the unique needs of an industrial or engineering environment (e.g., specific training, safety, etc.), (II) managing core HR functions and aligning them with the firm's operational goals, while measure the efficiency and effectiveness of these functions

Duties and Responsibilities:

Advise HR/Office/Admin Manager/Director on recruiting schedules, appropriate advertising, job descriptions and person specifications, job evaluation, re-grading of posts and remuneration.

  1. Carry out grading for recruitment purposes in accordance with the policy and procedure and will involve organising and arranging regular review panels, undertaking interviews, liaising with and supporting the relevant line managers and applicants on the process and processing outcome letters and paperwork as appropriate and required.

  2. Ensure accurate letters of appointment and contracts are issued in a timely and efficient manner.

  3. Ensure staff and applicants receive timely responses to their telephone and email enquiries.

  4. Process new starters, ensuring that all relevant information/induction is inputted into resource link in a timely manner, once a signed contract of employment offer letter has been returned.

  5. Coordinate and provide administrative support for meetings to the HR Recruitment and Placement, including preparing agendas, taking and circulating minutes, monitoring actions, following up outcomes and arrange accommodation & hospitality.

  6. Support the Division Head of HR Recruitment and Placement in designing and delivering Recruitment and Selection training to staff across the organization.

  7. Develop and maintain the HR web pages and other electronic communications for the working with the HR Systems Team, and ensuring web content is approved by the HR Recruitment and Placement, promotion, transfer, leave, training, incentive, bonus, salary and benefit & compensation etc. in line with established standards.

  8. Advise and liaise with the managers around the School on fixed-term contracts and funding extensions to ensure accurate contract amendments are produced in a timely and accurate manner and in line with legislation.

  9. Advice on all family friendly policies and ensuring staff understand their entitlements. 

  10. Meeting with staff and managers to advice on best practice and escalating complex situations to both the HR Recruitment and Placement, promotion, transfer, leave, training, incentive, bonus, salary and benefit & compensation etc.

  11. Administer contract amendment letters and changes in relation to maternity, paternity, emergency and compassionate leave, liaise with Payroll to ensure payments is made correctly.

  12.  Liaise with managers on Probation and Fixed Term Contracts procedures.

  13. Calculate redundancy pay, ensuring accuracy and processing all associated paperwork in a timely manner.

  14. Support staff across responsible and accountable for ensuring all organization’s policies, procedures, Regulations and employment legislative requirements is adhered to including equality and diversity and health and safety.

  15. Support internal and external inquiries and requests related to the HR department.

  16. Direct, coordinate and supervise activities of office services, general service administration and vehicles management.

  17. Direct custodial and janitorial services of the Firm.

  18. Supervise provision of reprographic services such as photocopying, duplicating and binding.

  19. Follow up the timely repair and billing utilities, building, office machines and equipment 

  20. Ensure that efficient messenger services are provided to all-organizational units of the Firm offices.

  21. Ensure that efficient Communication services are provided for the operation of the Firm

  22. Supervise proper handling and maintenance of the communications network.

  23. Check adequacy and efficiency of service vehicle operation and gives directives for improvement.

  • Service Request Fulfillment Time: The average time taken to respond to and resolve service requests. 

Employee & Facility Support: 

  • Employee Satisfaction with Support Services: Feedback from employees on the quality and availability of support services. 

  • Workplace Safety Incidents: The number of safety-related incidents within the workplace. 

Qualification and Experience: 

  • MBA in HR, Management, Economics,  Business Administration, or related fields with four (4) years of demonstrated Electromechanical company experience

OR 

  • Bachelor’s degree in HR, Management, Economics, Business Administration, or related fields with six (6) years of demonstrated  Electromechanical company experience

OR

  • Advanced Diploma in HR, Management, Economics, Business Administration, or related fields with ten (10) years of demonstrated Electromechanical company experience
