Job Summary

The Senior Purchaser is responsible for managing the procurement of goods, materials, equipment, and services required by the organization. The role ensures cost-effective purchasing, supplier management, timely delivery, quality compliance, and adherence to procurement policies. The Senior Purchaser also supports strategic sourcing initiatives and mentors junior procurement staff.

Key Responsibilities

Procurement & Purchasing

  • Source, evaluate, and procure goods and services in accordance with company requirements and procurement policies. 

  • Prepare and process purchase requisitions, purchase orders, and contracts. 

  • Obtain and analyze quotations, proposals, and bids from suppliers. 

  • Ensure procurement activities achieve the best value in terms of cost, quality, and delivery.  

  • Monitor market trends and identify cost-saving opportunities. 

Supplier Management

  • Identify, evaluate, and develop relationships with reliable suppliers and vendors. 

  • Conduct supplier performance evaluations and maintain approved vendor lists. 

  • Negotiate pricing, payment terms, delivery schedules, and contract conditions. 

  • Resolve supplier-related issues, disputes, and performance concerns. 

Inventory & Demand Planning

  • Coordinate with departments to understand purchasing needs and forecast demand. 

  • Monitor inventory levels and ensure timely replenishment of stock. 

  • Work closely with warehouse and logistics teams to avoid shortages or excess inventory. 

  • Support inventory control and stock optimization initiatives. 

Contract Management

  • Assist in preparing and reviewing supplier agreements and procurement contracts. 

  • Ensure contracts comply with company policies and legal requirements. 

  • Monitor contract performance and renewal timelines. 

Cost Control & Budget Management

  • Monitor procurement expenditures and ensure purchases remain within approved budgets. 

  • Analyze purchasing data and prepare cost-saving recommendations. 

  • Support budget planning by providing procurement forecasts and market intelligence. 

Compliance & Risk Management

  • Ensure procurement activities comply with organizational policies and applicable regulations.  

  • Maintain accurate procurement records and documentation. 

  • Identify and mitigate procurement-related risks. 

  • Support internal and external audits by providing procurement documentation and reports.  

Reporting & Documentation

  • Prepare regular procurement reports, supplier performance reports, and purchasing analyses. 

  • Maintain accurate records of purchases, contracts, supplier communications, and procurement activities. 

  • Track key procurement metrics and performance indicators. 

Team Support & Leadership

  • Provide guidance and support to procurement officers and purchasing assistants. 

  • Assist in developing procurement procedures and best practices. 

  • Contribute to continuous improvement initiatives within the procurement function. 

Job Requirements

Qualifications

  • Bachelor's Degree in Procurement and Supply Chain Management, Logistics, Business Administration, Management, Accounting, or a related field. 

  • Professional procurement certifications (CIPS, CPSM, CPP, or equivalent) are an advantage. 

Experience

  • Minimum of 4–5years of procurement or purchasing experience. 

  • At least 2 years in a senior purchasing or procurement role. 

  • Experience in supplier negotiation, contract management, and strategic sourcing. 

  • Experience with ERP systems and procurement software is preferred.

  • Knowledge of procurement principles, inventory management, and supply chain processes.

  • Proficiency in Microsoft Office, particularly Excel, and procurement systems.
