Organizing and supervising the daily supply chain activities and the teams associated, in the coordination, according to MSF protocols and standards in order to ensure the optimal running of the mission.

  • Supervising and organizing the daily activities of the Supply Chain team and ensuring they perform the tasks linked to their role

  • Being responsible for the order, purchase, stock and freight management in the coordination or in the project level, monitoring and ensuring an efficient implementation of the overall daily supply chain activities

  • Monitoring and ensuring a smooth running supply administration and the respect of the implemented supply procedures, proposing adjustments where needed.

  • Being responsible for the supply database and the correct filing and archiving of the supply documentation in order to  guarantee the availability and the coherence of supply data

  • Communicating with customers, keeping them up to date concerning their orders status (BO confirmation) and prioritizing procurement and transport according to their needs

  • Collecting claims from the field, analysing causes and making corrective actions.

  • In collaboration with the Supply Manager and in coordination with the HR department, supervising the associated processes (recruitment, training/induction, briefing/debriefing, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required

  • Informing the Logistics team Leader / Supply Manager in case of any major issue and draws-up all required reporting, in order to keep updated and reliable information that will help in decision-making

Performing any other tasks within the scope of his role, as directed by supervision and according to the needs of the mission.

  • Organize and follow up the daily supply activities at coordination level, including order processing, local procurement, transport, customs follow-up and supply administration, in line with MSF protocols, standards and procedures.

  • Ensure the proper use and follow-up of standard MSF supply tools, and support the quality and reliability of supply data and documentation.

  • Follow up local and international orders to ensure timelines and chronogrammes are respected, and support requesters in defining quantities and anticipating needs.

  • Monitor the implementation of supply procedures, including planning of needs, market assessments for local purchases, application of validation rules, and follow-up of transport and customs procedures.

  • Ensure relevant supply information is available and shared with requesters and concerned departments, including price references, lead times, order status, pipeline follow-up, risk of shortages and consumption trends.

  • Maintain regular communication with requester departments, project teams and the coordination supply team regarding the status of locally and internationally sourced orders.

  • Prepare and share regular order follow-up reports, including weekly monitoring and monthly or quarterly reporting as required by mission guidelines.

  • Support the strengthening of supply chain practices within the coordination supply team through day-to-day technical support, follow-up and on-the-job capacity building.

  • Supervise the staff under his/her responsibility and contribute, in collaboration with the Deputy Coordinator in charge of Supply Chain, LogCo and HR, to recruitment, onboarding, training, evaluation, development and communication processes.

  • Contribute to supply-related planning and discussions, including POA preparation and the follow-up of supply priorities linked to mission activities.

• Ensure proper follow-up of supply contracts, procurement files and related expenditures, and support budget monitoring for supply activities under his/her scope.

Job Requirements

Education        

Essential degree and specialization in Logistics/Supply Chain

Experience                        

Essential in supply chain management (minimum 2 years) and in organization of supply administration and procedures

Desirable proven understanding of MSF Field Logistics (general knowledge of MSF equipment and kits)

Languages                    

Mission language essential (English); local language desirable (Amharic)

Knowledge      

Essential computer literacy (word, excel, internet)
