Background

Client  Ethiopia is looking for a seasoned professional who can manage the day-to-day receipt and dispatch of Client  supplies in the Client  Warehouse while ensuring that storage conditions and cargo handling are in accordance with product-specific requirements, and that appropriate security measures are maintained to ensure the safety of program supplies.

Justification

The warehouse officer’s position is vacant and is under recruitment. The warehouse assistant is due to retire on 30th June 2026. The warehouses in Addis are understaffed to manage theoperations. To support the staff, this consultancy position is recommended to be recruited through third party contractor.

The assignment requires dedicated operational support to strengthen warehouse management, inventory accuracy, dispatch coordination, and documentation management. The Warehouse Assistant will support day-to-day warehouse activities including receiving, stacking, inventory verification, dispatch preparation, waybill processing, and monitoring of acknowledgment documentation.

Objectives, Purpose & Expected Results

Overall Objective

  • To support Client  staff member in efficient warehouse operations and inventory management through proper receiving, storage, dispatch, documentation, and monitoring of Client supplies.

Purpose:

  • To ensure warehouse activities are conducted effectively and in compliance with Client warehouse management procedures and inventory control requirements.

Specific Objectives (SMART)

  • Ensure timely receiving, proper storage, accurate inventory recording, and efficient dispatch of Client  supplies.

  • Maintain accurate warehouse records, inventory balances, and dispatch documentation including Model 19 acknowledgements.

  • Support warehouse operations through proper coordination with warehouse staff, transporters, programme sections, and implementing partners.

  • Ensure regular inventory checks, proper stacking plans, and timely update of warehouse records and systems.

Expected Results:

  • Accurate inventory management and warehouse records maintained.

  • Timely receipt and dispatch of programme supplies.

  •  Proper stacking and utilization of warehouse space.

  • Improved tracking and collection of Model 19 acknowledgements.

  • Compliance with Client  warehouse management procedures and internal controls.

Project Management

  • The assignment will be managed by the Supply & Logistics Section, under the direct supervision of the logistics Specialist (P3).

General Conditions: Procedures And Logistics

  • For this assignment third-Party personnel will work primarily from Client warehouse premises. Payments will be made upon certification of report and deliverables by Client.

  • Access to Client  transport will be provided for official travel within Addis Ababa only. 

  • No out-of-city travel is required under this assignment.

Deliverables / Reporting Requirements

  • Monthly report on the activities performed

  • Dispatch tracking and Model 19 status report

  • Stock count and reconciliation report of mid-year inventory count.

  • Final assignment report on achievements, challenges, and recommendations–End of contract

Job Requirements

Education:

  • Secondary education completion or Bachelor's Degree in Logistics, Supply chain Management, Operations Management, Business Administration, Industrial Engineering,

    Transportation  Management,  Information  Systems, Warehouse Management or with related field of study

Experience:

  • At least 6 years of relevant work experience in Supply Management/Contracting/Logistics, warehouse operations, inventory management, supply chain management, logistics coordination, distribution management,  materials  handling, transport  coordination,  stock control,  records management, compliance management and any other related fields.

Duties and Responsibilities

Warehousing and inventory management Support
  • Support Client staff in management of Client  warehouse facilities and operations in line with Client  policies and procedures. 

  • Assess warehousing capacity including facilities, conditions of equipment, manpower and processes.

  •  Ensure accurate and complete accounting, reporting and internal control systems are in place, and relevant records are properly maintained.

  • Assess the availability of space and prepare stacking and storage plans to ensure appropriate storage and optimize use of space.

  •  Ensure receipt of consignments and dispatch of supplies.

  •  Carry out regular physical counts of inventory in the warehouse in coordination with Client staff member.

  • Support in Management of dispatch and Acknowledgment.

  • Prepare a dispatch schedule based on distribution plans and consignee details provided by program sections and/or release order for warehouse stock on a regular basis.

  •  Coordinate with the contracted transport company on the need for types and numbers of truck requirements to distribute supplies as per dispatch scheduled on a timely basis.

  • Organize and handle monitoring system for collection of Governments Receipts (Model 19s) and provide quarterly reports on regular basis.

  • Support in Vision inventory database being accurate, maintained properly, and updated regularly.

  • Supervise the performance of daily laborers and the security guards and provide guidance on how to handle incoming and outgoing supplies and persons during

    and after working hours. Report on irregularities when observed.

  • Ensure that all local supplies should have Purchase Orders, Delivery notes and pre- inspection reports prior to receiving them into the warehouse.

  • Assists in the maintenance and management of Client  Warehouse and Inventory Management ERP VISION by providing support in receiving and dispatch.

  • Conduct periodically physical stock checking and update bin cards to ensure the accuracy of physical stock balance with the VISION.

  • Ensure that the supplies are distributed based on the FIFO/LIFO/FEFO method to minimize loss due to expiry and damage.

Skills & Competencies

  • Inventory Control, Manage Warehouse Operations, Purchase Orders. Proficiency in MS Office and Client ERP supply modules.

Language Requirements: 

  • Fluency in English is required.

  • Formal training in warehousing, training in physical storage conditions or in inventory control, knowledge of FEFO principles

  • Experience with ERP inventory systems

  • Experience with FIFO and LIFO, experience coordinating transport logistics, experience in government receipt processes, technical courses in logistics

  • Relevant experience at country level, particularly in development, fragile settings and humanitarian context.
